UPDATE: (excerpts from email from the event coordinator)

The Situation

I am reaching out to you all with a heavy heart to share an update regarding our upcoming exhibit, which, due to unforeseen circumstances, requires us to adjust our initial physical plans.

As of 9:00 PM yesterday evening, it came to my attention that due to a significant miscommunication involving the gallery coordinator and our local assistant, we will not be able to host our in-person exhibit for the duration we all anticipated. In the past 24 hours since learning of this, I have done everything in my power with the assistance of the local community to find an alternative, last minute solution and physical location to host our exhibit in the area. The best offer I received was a gallery rental for 3 days mid March, and the cost was simply impractical for us given the state of our fundraising initiatives, our target attendance, and scale of our exhibition. Additionally, this would be infeasible as I have prior arrangements mid March and would not be able to physically attend to oversee the reception. My team and I are eternally grateful for all parties involved in seeking alternative solutions, though I am deeply saddened that through this effort, we were unable to locate a gallery that could accommodate our initial vision for this grand exhibition.

I must express my frustration with the poor communication that led to this situation. It was our understanding, based on preliminary discussions, that we had secured the gallery for the entire month of March. I would not have ever green lighted physical submissions if I had known otherwise. The realization that this was not the case came as a surprise, and I share in the utmost inconvenience and frustration this has caused each of you. I am so, so very sorry for this situation.

I personally flew into Tulsa a week ago to oversee the gallery installation process and have remained here for a week working tirelessly alongside my assistant to ensure that all 42 submitted artworks, including those submitted digitally, received the attention and care they deserved. We have dedicated countless hours to formatting, printing, and framing digital submissions(for those who ordered frames) to meet our high standards for display and have been looking forward to finally seeing this exhibit installed alongside you all! To be faced with the news yesterday evening after everyone’s hard work and months of marketing for gallery attendance and participation, this news was utterly devastating.

Updated Plans for the Exhibition

Where it has proven impossible to find another host gallery in what little time we have since being notified of the miscommunication, after careful consideration and with the safety of all submitted artworks as well as the interests of everyone involved in mind, I have concluded that returning physically submitted artworks and proceeding with a permanent digital exhibition, as originally promised, is the safest and best course of action. While I am still in Tulsa(until this coming Saturday), I wish to assist in the return of the physically submitted artworks with my assistant to ensure proper handling and this is not something I could do if the gallery were to occur later in the month.

Additionally, given the international scope of this exhibition and our shift away from a physical reception, I want to take this opportunity to do something unique and exciting for our artists and community and do hope many of you will take interest. I will detail later in this email our plans to host a special digital reception that you may all be a part of, whether you choose to participate or just listen in. In this way,I hope we may turn a challenge into a vibrant opportunity, ensuring that our collective artistic expression remains undiminished, and perhaps even enriched, by the unforeseen twists of our journey together.

Our team will spend the next week redoubling our efforts to promote the online exhibit reception and ensure it receives the attention and sponsors it deserves.
